Administrative Assistant Job Description

Main Function:

To assist the Executive Director and the Office Manager in establishing and maintaining an effective, financially responsible outpatient program, serving chemically dependent individuals and significant others.

Duties & Responsibilities:

Works closely with the Executive Director, Office Manager, Medical Director, Clinical Director and additional clerical staff. Assists and maintains a financially organized and therapeutically efficient program.

The following duties are typical examples of the type of work performed and is not considered a comprehensive list of all duties;

  • Answers the phone.

  • Screens incoming client calls to determine if the client meets the criteria for scheduling an assessment appointment. The screening will follow the programs’ screening procedures.

  • Schedules appointments and verifies eligibility for clients with Medicaid in the EVS system.

  • Enter client information into facility electronic health records programs.

  • Functions as an aid to the counselors, by faxing/scanning/filing status reports.

  • Collects fees and enter billing for all clients with copays.

  • For court-referred clients’ send out letters and status follow ups to courts.

  • Type various letters; progress letters, memos, graduation certificates, etc.

  • Order office supplies.

  • Perform other clerical duties as assigned related to the job description.


Reports to:

Director and Office Manager.

Working Relationship:

The individual must effectively network with the counselors, counselor aids, all directors, accounting staff, clients, managers and physicians on staff.

Education:

High school diploma or GED

Experience:

Minimum of one-year experience in business/administrative duties, preferably in a substance abuse or health care setting.

Clinical Supervisor Job Description

Main Function:

The Clinical Director must be knowledgeable about addiction as a disease; Code of Ethics, Management, training and supervision techniques; Federal, state and local laws/standards. Best practice and evidence based models.

Duties & Responsibilities:

  • Work with the Director on initiatives for effective clinical services.

  • Provide clinical supervision to direct service staff by assuring that training and supervision occur.

  • Prepare and participate in audits, peer reviews, and agency Continuous Quality Improvement initiatives.

  • Perform case review and diagnosis within scope of license.

  • Oversee clinical record management according to agency practice; prepare and/or audit reports utilizing Agency electronic clinical documentation system.


Supervises:

All staff on a regular basis, signing off on clinical notes, assessments and other documents.

Reports to:

Executive Director

Working Relationships:

Must work effectively with interacting executive director, all other treatment staff as well as the clients at New Life ACS.

Education:

Master’s Degree, both clinical and supervisory experience. Substance Abuse treatment experience of 2 years or more, as well as strong communication skills, both verbal and written.

Counselor Job Description

Main Function:

The individual is to assess the progression of the disease of addiction in the alcoholic and other drug addicted clients; to treat the addicted client either in a group and/or individual counseling session in program development.

Duties & Responsibilities:

  • Conducts group therapy sessions and/or counsels addicted clients on one to one basis.

  • Counsels client’s significant others and makes referrals to the appropriate treatment within the New Life program or to other agencies.

  • Formulates therapeutic goals with the client and assists in the actions necessary to carry out the goals.

  • Observes, records and reports on the conditions of addicted clients and works with vocational rehabilitation, parole & probation, officers, social services and other organizations to assist clients in adjusting to community life.

  • Completes assessment and places clients in treatment based on ASAM criteria.

  • Refers clients to the appropriate self-help group as part of their treatment contract.

  • May be required to gather data for the purpose of program development and evaluation.

  • Organizes and conducts video and film presentation in educational lectures.

  • Performs related duties as assigned.


Supervises:

The counselor may guide counselor aides in group and/or individual counseling techniques.

Reports to:

Director and Program Director

Working Relationships:

The individual must be able to function as a group leader, be able to establish effective relationships with the clients, their families, the clergy, fellow workers, physicians and various community organizations.

Education:

The individual must possess current certification as a Certified Supervised Counselor (CSC) or a Certified Associate Counselor (CAC) from the Maryland Board of Professional Counselors and Therapists. A minimum of an Associates of Art degree along with an application for Alcohol and Drug Trainee status from previously noted, Maryland Board, is required. Also, a licensed Clinical Alcohol and Drug Counselor (LCADC) is acceptable to practice and supervise the Certified Counselors and Counselor Trainees.

Experience:

Experience in addiction counseling.
